Deals & pipeline

The pipeline tracks the deals you're working on, from first contact to won or lost, next to the emails that move them along. Bookings, in-email checkouts and proposals move deals for you. It's deliberately light. If you already live in a CRM, HubSpot and Pipedrive sync can send your deals there.

The board

Open Pipeline in the sidebar. Each stage is a column showing how many deals it holds and their total value. The line above the board sums open and won deals.

  • Drag a card to another column to move the deal. On a phone or with a keyboard, open the deal and change its Stage instead.
  • Click a card to open the deal: its stage, contact, source, created and closed dates, title, value and currency, and the full stage History. You can edit or delete it from there.
  • Filter by Contact list or by when the deal was Created (last 7, 30, 90 or 365 days).
  • With more than one pipeline, pick one at the top.

Viewers can see the board and open deals but can't move, edit or delete them.

Create a deal

A deal is always about one contact, so deals are created from the contact, not the board. Open a contact's profile, find the Deals card and click New deal. Give it a title (it defaults to "Deal with" and their name), a value, a currency, and a pipeline and stage. The Deals card lists every deal for that contact, across lists and pipelines, and lets you change a deal's stage in place.

Deals are also created by auto-rules, by the Update deal journey step, and through the API, Zapier and n8n.

A deal's value is a number with a currency label. Nothing is converted or charged, so totals are shown per currency.

Pipelines and stages

Your first pipeline, Sales, is created for you with these stages: Lead → Qualified → Meeting booked → Proposal sent → Won / Lost.

To change it, click Edit stages on the board, or go to Settings → Pipelines. You can rename, add, reorder and remove stages, change a stage's kind (open, won or lost), create more pipelines (up to 10, with up to 20 stages each), and choose which one is the default. Each pipeline needs at least one open, one won and one lost stage. A stage that still holds deals can't be removed or change kind until you move them out, and a pipeline that still has deals can't be deleted.

Moving a deal into a won or lost stage records when it closed. Moving it back to an open stage reopens it.

Automation

Each pipeline's settings have an Automation section. Every rule picks a stage to move the deal to, or Off:

A rule moves the contact's newest open deal in that pipeline, and only ever forward: a booking never drags a deal back from Proposal sent to Meeting booked. Won and lost always count as forward. If the contact has no open deal anywhere, a new one is created in the first pipeline that has the rule on. Each event moves at most one deal, and a repeated event (a webhook redelivery, say) never moves it twice.

The default pipeline has every rule on. A pipeline you create starts with them off. The checkout rule follows MailInApp's own product block checkout. Shopify and WooCommerce orders don't move deals.

Deals in journeys

  • Trigger: Deal stage changed starts a journey when a deal is created or moved, on the board, by a rule or by another journey. Narrow it to a pipeline and stage. Later steps can use the deal's details as tags: dealTitle, dealValue, dealCurrency, dealStage and dealStatus.
  • Step: Update deal either opens a new deal for the contact (skipped if they already have an open one in that pipeline, and named after the journey) or moves their open deal to a stage, optionally setting its value.
  • Condition: Deals in branches, segments and send filters matches contacts who have an open deal, a deal in a specific stage, or a deal worth at least an amount.

Privacy

Deals and their history belong to your account. They're included in your account data export and deleted with your account. Deleting a contact doesn't delete their deals: delete those from the deal itself.
