Company & contact enrichment
Enrichment fills in the blanks on contacts you already have: their company, their job title, their LinkedIn profile. It never searches for new people, and it never overwrites a value you or an import already set.
There are two kinds, set up separately on each contacts list:
- Company details come from the company's own website. They're included in your plan.
- Contact details come from your own account with Apollo, Hunter or People Data Labs, and use that account's credits.
Company details
Company details are looked up from the domain of each contact's work email. For [email protected], MailInApp reads acme.com's homepage and takes the name the company gives itself there (from its structured data, its social-sharing tags or its page title).
Turn it on
- Open the list under Contacts and find the Company details card in the list's settings.
- Switch on Fill in company details for this list.
- Check the columns: Company name column (
companyby default), Industry column (company_industry) and Company size column (company_size). Clear a column to skip that detail. New columns are added to the list. - Click Save.
From then on, contacts added to the list are enriched in the background as they arrive, from any source: imports, signup forms, the API, syncs. To fill in the contacts already on the list, click Enrich existing contacts. The card shows progress and the last run's result. When it's done, reopen the list to see the new values.
What gets skipped
- Personal addresses. Gmail, Outlook, Yahoo, iCloud and other free-mail domains say nothing about anyone's employer, so they're never looked up. Neither are disposable or invalid addresses.
- Filled-in columns. Only empty columns are written. If someone edits the contact while it's being looked up, their edit wins.
- Industry and size, usually. Company websites rarely state them, so these two columns often stay empty.
Monthly allowance
Each plan includes a number of company lookups a month, shown under Settings → Plan & usage as Company lookups:

A lookup is counted once per company domain, not once per contact: 1,000 contacts from 120 companies use at most 120 lookups. Companies MailInApp already knows are free. When the allowance runs out, contacts from already-known companies are still filled in, and the rest wait until the 1st of next month, when enrichment resumes on its own.
Contact details
Contact details (first and last name, job title, seniority, LinkedIn profile, city, country, and optionally phone) come from data providers you connect with your own API key.
Connect a provider
Go to Settings → Integrations → Data providers (account owner only) and click Connect next to Apollo, Hunter or People Data Labs. Paste the API key and click Save key. MailInApp checks the key with a call that costs no credits, then stores it encrypted. It's never shown again.
With more than one connected, set the Enrichment order with the arrows. The first provider fills what it can, the next one fills only what's still blank, and so on, stopping as soon as every column is filled. If a provider is busy, out of credits or refuses its key, the next one is asked instead.
Each provider uses your own account, so that provider's pricing, credits and terms apply.
Confirm your lawful basis
Before the first contact-details lookup on a list, the account owner has to confirm, once, that they have a lawful basis for its contacts, such as consent or a legitimate interest. That basis has to cover sharing their email addresses with the providers. The confirmation is saved on the list with who confirmed and when. Editors see a note asking the owner to do it.
Enrich
In the list's Contact details card, check the columns each detail goes into. Phone is off until you name a column for it. Then:
- Enrich contacts looks up every contact on the list with blank details. You're asked to confirm first, because each lookup uses provider credits. A contact looked up in the last 90 days is skipped, so running it again doesn't pay twice.
- Enrich on a single contact's profile looks up just that contact, now.
- The Enrich contact step in a journey does the same for each contact that reaches it, for example right after a demo request.
These contacts are always skipped: no email address, an invalid address, an unconfirmed double opt-in signup, or every column already filled. If a provider reports that the person asked to have their data removed, nothing is filled in for them from any provider.
See where a value came from
A contact's profile has an Enrichment section listing each enriched field with its source (the company website, or the provider) and the date. A source is shown only while the field still holds the value enrichment wrote, so once you edit it, it's yours.
Privacy
Enriched values and their sources are stored on the contact. They're included in your account data export and deleted with the contact. The shared company cache holds company information only, never anything about a person. Provider keys are deleted when you disconnect the provider or delete your account.
