MailInApp vs Apollo + Brevo + Calendly + Zapier

Apollo finds the leads, Brevo emails them, Calendly books the call and Zapier carries data between the three. It works, and each tool is good at its job. MailInApp runs the same loop (capture, verify, enrich, nurture, alert, book, propose, pay, deliver) in one account, with each step able to happen inside the email itself.

The real difference

The difference is less about any single feature than about where the steps happen. In the stack, a lead clicks out of a Brevo email to a Calendly page, a Zap tells Slack, someone copies the deal into Apollo, and the proposal goes out from a fourth tool. In MailInApp, the booking block, the proposal's accept form and the checkout are all in the email, and the pipeline moves itself when they're used. What MailInApp won't do is find new people for you: there's no contact database, and purchased or prospect lists are kept out of marketing sends. If cold prospecting is the job, you still need Apollo or a tool like it.

Why teams pick MailInApp

  • Booking, proposal acceptance and checkout happen inside the email, so no step loses the lead to a click-out
  • The pipeline moves itself on bookings, accepted proposals and payments, with no Zap to maintain
  • Every address is verified on the way in, whatever tool the list came from
  • One account, one bill and one place to look when a step breaks

Where Apollo + Brevo + Calendly + Zapier still leads

  • Apollo finds people you don't know yet and runs cold sequences; MailInApp deliberately does neither
  • Calendly handles team scheduling and calendars beyond Google, which MailInApp's booking doesn't yet
  • Zapier's app catalog is far larger than MailInApp's own integrations (though MailInApp's webhooks plug into Zapier too)
  • Brevo adds SMS, WhatsApp and a fuller CRM, all channels MailInApp leaves out

Frequently asked questions

Can I keep Apollo and use MailInApp for the rest?

Yes. Import Apollo exports with the Apollo preset, or connect your own Apollo key to enrich contacts already on your lists. Contacts imported as a prospect list stay out of marketing sends until they opt in themselves.

Importing leads
Does MailInApp work with Zapier?

Yes. Account webhooks send new leads, bookings, deal changes and purchases to Zapier's Webhooks app today, and a REST API covers the actions. An official Zapier app is in Zapier's review, and an n8n node is available now.

Webhooks & events
Is MailInApp's booking a Calendly replacement?

For booking a call from an email, yes: open times are in the email, re-checked when someone picks one, and added to your Google Calendar with a Meet link. For team round-robins or Outlook and iCloud calendars, Calendly is still the better fit.
