Interactive Email for B2B Services: From Booked Call to Won Deal

Agencies, consultancies and other service firms sell the same way: qualify the lead, get on a call, send a proposal, collect a deposit. Every handoff between those steps is where leads go quiet. In MailInApp the qualifying question, the booking and the proposal's accept form all sit inside the email, and the deal on your pipeline moves by itself at each step.

Quick question before we talk

Agencies, consultancies and other service firms sell the same way: qualify the lead, get on a call, send a proposal, collect a deposit. Each handoff is a chance for the lead to go quiet. MailInApp puts the qualifying question, the booking and the proposal's accept form inside the email, and moves the deal on your pipeline at every step.

Most service firms already have the pieces: a newsletter tool, a scheduling link, a proposal template, a payment link, a CRM someone updates on Fridays. The work is in the gaps between them.

Qualify with one question

A Poll asking about project size, budget band or timeline gets far more answers than a form, because it's one tap. Turn on Save answer to contact field and the vote lands on the contact, ready for a journey branch or a segment. Answers are saved only for contacts on your list, never for anonymous visitors.

Book the call inside the email

A Booking block shows your next open times from Google Calendar. One tap books the slot, adds a Meet link and sends the lead a confirmation. The time is checked against your calendar again at that moment, so nobody books a slot that's already gone. The booking also moves their deal to Meeting booked, or creates one if they didn't have a deal yet.

Turn the call into a proposal

After the call, open the deal and paste your notes into its Proposal section. The AI copilot drafts a proposal from them, in your brand voice and at the deal's value. It's a draft: you review it in the studio and send it when it's right. Sending it to the deal's contact moves the deal to Proposal sent.

Accept and pay without leaving the inbox

Every proposal ends with an accept section: a typed name and an "I accept" box. Accepting moves the deal to Won. The Proposal with deposit template adds a card payment through your own connected Stripe account, so the deposit can be paid in the same email.

Know when to pick up the phone

Hot-lead alerts reach you by push, email or Slack when a contact's engagement score crosses your threshold. Deals can sync one way to HubSpot or Pipedrive, so the rest of your team sees each move without anyone copying it over.

Getting started

Connect Google Calendar and create a booking type for your discovery call. Build a first email with a qualifying Poll saved to a contact field and a Booking block, and send it to inbound leads or past clients. When a call goes well, generate the proposal from the deal and send it from there.

A typical build-and-send sequence

  1. 1

    Qualify in the first email

Add a poll about project size or timeline and save the answer to a contact field such as project_size. Journeys can branch on it and segments can filter on it.

  2. 2

Offer a call to the right leads

Send contacts whose answer fits an email with a booking block for your discovery call. Hot-lead alerts tell you by push, email or Slack when someone's engagement climbs.

  3. 3

Let the booking move the deal

When they book, the meeting goes onto your Google Calendar with a Meet link and their deal moves to Meeting booked. If they had no deal yet, one is created.

  4. 4

Draft the proposal from your notes

After the call, paste your notes into the deal's Proposal section. The AI copilot drafts a proposal at the deal's value. Review it in the studio, then send it to the contact.

  5. 5

    Close with a deposit

The Proposal with deposit template puts a card payment under the accept form. Accepting moves the deal to Won, and the deposit arrives in your Stripe account.

Frequently asked questions

Do I need an AI plan for proposals?

Drafting a proposal from your notes uses one AI copilot turn, so it needs a plan that includes the copilot. You can also build a proposal by hand in the studio from the Proposal templates, which have the same accept section.

What if two people try to book the same slot?

Only one booking goes through. Each time is checked against your calendar again at the moment someone picks it, and the second person is offered fresh times.

Can my team keep working in HubSpot or Pipedrive?

Yes. Deals can sync one way to HubSpot or Pipedrive, so each stage MailInApp moves shows up in your CRM within minutes.

Can I send this to a prospect list I exported from another tool?

You can import it to track and enrich those contacts, but if it's a purchased or prospect list, campaigns and journeys skip them. This flow is built for people who asked to hear from you: inbound leads, event contacts and past clients.

Can I share the proposal as a link instead of an email?

Yes. Publish it as a page and share the link. The page is public, so anyone with the link can accept it. If someone accepts by mistake, move the deal back on the board.
