Running a club's communications on MailInApp works the same way it does for any other account — no code, no special setup. One sign-in for the club, coaches invited as team members, players grouped by squad or age-group as your contact list. What changes is what you send: training and match logistics, attendance, and season results, built by dragging a few blocks into the studio.
Setting it up for your club
Your account is the club. Invite an assistant coach or team manager from Settings so more than one person can send emails and check responses without sharing a login. Your players are a contact list, same as any other in MailInApp, with whatever fields your club tracks — position, jersey number, squad name. For a youth team, just use a parent or guardian's own email address as the contact, with the player's name as a separate field so the email can still say "Hi Jamie" — there's nothing special to configure for that.
The blocks built for a sports team
- Standings table — type in each team's played, won, drawn, lost, and points, and MailInApp sorts the table and marks the top three automatically. It shows up as a clean, real table in every inbox, Outlook included — no image, no rendering issues.
- RSVP — the same block used for events, dropped in here as-is: a one-tap Yes/No with an optional guest count. Set a capacity for a tryout or a limited number of away-trip seats, and anyone RSVPing after it's full gets waitlisted automatically.
- Venue — your training ground or stadium's name, address, and an optional photo, with a one-tap "Get Directions" link straight to Google Maps.
- Add to calendar — buttons for adding practice or match times to Google Calendar, Outlook.com, or any other calendar app. Fill in the date and time once; every family sees it correctly in their own timezone.
- Product, Poll, Rating, Scratch-off, and Spin-to-win — the same blocks used everywhere else in MailInApp, ready to reuse for collecting dues, selling kit, running a fan survey, or handing out a "player of the match" reward.
Managing more than one squad from a single account
Keep every player, across every squad or age-group, on one shared list — then use an audience filter to send to just "U12," for example, without keeping a separate list per squad. Go a step further with a per-block display setting so one email can show each family only their own squad's schedule or standings, instead of sending a separate email per group. Keeping the season standings up to date
There's no live scoreboard feed to connect — you type each row in by hand after a match, the same quick update you'd make to a scorecard anyway. Turn off the draws column if your sport doesn't have them, and highlight your own team's row so it's easy to spot in a parent digest. Points are always a number you enter yourself rather than one MailInApp calculates, since leagues award points differently from sport to sport.
A couple of things worth knowing
There's no way yet to automatically remind people "3 days before Saturday's match" — recurring sends run on a fixed daily or weekly schedule rather than counting down to one specific game, so a game-by-game reminder still needs adjusting by hand as the schedule shifts. There's also no single season-long attendance number across many practices — each RSVP reports its own count, not a rolled-up rate. And a send goes to one address per contact, so notifying both a player and a guardian on the same email isn't supported yet — pick whichever address matters more. These are real limits today, not something we're hiding.
Getting started
Create a project and pick "Sports team" as the purpose — you'll get a Venue block, an Add to calendar block, an RSVP block, and a Standings table already built, ready to fill in. Add a squad or division field to your player list, then build a quick audience filter for whichever group you're sending to, the same way Segment your audience describes.
