What goes into the score

Each action counts for more the more intent it shows. A purchase counts ten times an open, a booked meeting eight times, an RSVP six times, a form or quiz submit five times, and a vote or rating four times. The score halves every 30 days with no new activity, so last spring's burst of clicks doesn't keep someone at the top of the list.

That's why the score is worth more than HubSpot's own email activity for prioritizing: it reflects what happened inside the email, not just whether it was opened.

Set it up in a few minutes

  1. In Settings → Integrations, under CRM sync, click Connect HubSpot and approve on HubSpot's screen.
  2. Under What to sync, tick the contacts lists your sales team should see, Save, then Sync now.

Each contact is matched by email, so existing HubSpot contacts are updated rather than duplicated. Name, company, job title, phone and location go along with the score when your lists hold them.

Put the score to work in HubSpot

  • A hot-leads view. Add the MailInApp engagement score column to a contacts view and sort by it, so the most engaged contacts are at the top of a rep's day.
  • Alerts when a lead heats up. A HubSpot workflow can enroll contacts whose score passes a threshold, then create a follow-up task or notify the contact owner.
  • Lists and reporting. Filter on the property to build a HubSpot list for a sales sequence, or chart how engagement is distributed across your pipeline.

Make your emails worth scoring

The score is only as good as the actions available to readers. A Poll asking which problem matters most, a Form that captures company and role, or a Booking block offering real meeting slots each give interested readers a way to show it. Form answers saved to columns like Company or Title go to HubSpot too.

How fresh is the score in HubSpot?

A contact whose activity changed is sent within a few minutes. Once a day MailInApp also rechecks every synced contact, because the score fades over time even when nobody does anything, and sends any that changed.

What does the engagement score measure?

Opens, clicks, votes, ratings, form and quiz submits, RSVPs, bookings and purchases, each weighted by how much intent it shows: a purchase counts ten times an open. It has a 30-day half-life, so an old burst of activity doesn't keep someone looking engaged forever.

Will contacts be duplicated in HubSpot?

No. Contacts are matched by email address, so an existing HubSpot contact is updated, and someone in several MailInApp lists is one HubSpot contact.

Do changes made in HubSpot come back to MailInApp?

No. The sync is one way: MailInApp sends contacts and scores to HubSpot and never reads contacts back, so HubSpot stays your sales team's system of record.
