Move HubSpot Deals When Prospects Book or Buy From an Email

When a prospect books a meeting or pays straight from an email, the next step is usually someone updating the CRM by hand. With MailInApp's pipeline automation, the booking moves their deal to Meeting booked and the payment closes it as Won at the order amount. The HubSpot sync then carries each move to the matching HubSpot deal stage within minutes, so the forecast reflects what prospects actually did.

One way only: deals move from MailInApp to HubSpot, never back.

Step 1: decide what moves a deal

In Settings → Pipelines, each pipeline has an Automation section:

  • A meeting is booked: move the contact's open deal to a stage you choose, such as Meeting booked.
  • An in-email checkout is paid: move it to a stage you choose, such as Won. The deal takes the order amount.

The default pipeline starts with both rules on. A deal only ever moves forward: a booking won't pull a deal that's already at Proposal sent back to Meeting booked. A contact from one of your contacts lists who has no open deal gets a new one, and one event never changes more than one deal.

Step 2: match your stages to HubSpot's

In Settings → Integrations, connect HubSpot, then under Deal pipelines pick the HubSpot pipeline for your MailInApp pipeline. MailInApp suggests a HubSpot stage for each of yours: open stages in order, Won to closed-won, Lost to closed-lost. Adjust any of them, and set a stage to Not sent to keep its deals out of HubSpot.

Each deal arrives in HubSpot linked to its contact, with its name, amount and close date. If the contact isn't in one of your synced lists yet, it's sent along with the deal.

Step 3: give prospects something to act on

  • A Booking block shows real open slots from your connected calendar. Booking takes one click, and the meeting goes straight onto your calendar.
  • A Product block takes payment through your own connected Stripe account, for a starter package, a deposit or a paid pilot.
  • A Form block qualifies the lead first, with company size, budget or timeline, saved to the contact.

What your sales team sees

Deals that move by themselves, on the HubSpot deal they already know, usually within minutes of the prospect acting. HubSpot reports and forecasts reflect bookings and payments without anyone retyping them.

Because the sync is one way, it works best when MailInApp owns the email-driven stages, from first touch to booked and paid, and reps take it from there in HubSpot. A rep's change in HubSpot isn't copied back to MailInApp.

A typical build-and-send sequence

    Turn on pipeline automation

    In Settings → Pipelines, under Automation, choose the stage a booked meeting moves a deal to and the stage a paid checkout moves it to. The default pipeline starts with Meeting booked and Won already set.

    Connect HubSpot and match the stages

    In Settings → Integrations, connect HubSpot, pick a HubSpot pipeline for your MailInApp pipeline, and check the suggested stage for each of yours. Won and Lost go to HubSpot's closed-won and closed-lost stages.

    Add booking and checkout to your emails

    Put a Booking block in your outreach or nurture email, and a Product block wherever a prospect can buy directly.

    A booking moves the contact's open deal forward, never back, or opens one if they don't have one yet. A paid checkout closes it as won at the order amount.

    Each deal change reaches HubSpot within a few minutes, on the same HubSpot deal, linked to the contact, so reports and forecasts stay current with no manual updates.

Frequently asked questions

What if the prospect already has a deal?

Their newest open deal is moved, and only forward: a booking never drags a deal that's already at Proposal sent back to Meeting booked. No second deal is created, and one event changes at most one deal.

Can my reps keep editing deals in HubSpot?

Yes, but the sync is one way: what they change in HubSpot isn't copied back to MailInApp, and the next time that deal changes in MailInApp, its update overwrites the fields MailInApp sends (name, amount, stage and close date). Many teams let MailInApp own the early, email-driven stages and work later stages in HubSpot.

Which currency do HubSpot deals use?

Your HubSpot account's own currency. MailInApp sends the amount without a currency code, because HubSpot refuses currencies an account hasn't turned on.

What if a deal is deleted in HubSpot?

MailInApp doesn't recreate it. Deleting a deal in MailInApp doesn't delete it in HubSpot either: deletes never sync in either direction.

Does it work with Pipedrive too?
